Job Description - Administration Manager
Human Resources
• Draft business case options for external HR support, both one off fees & monthly contract
• Develop contracts of employment for all colleagues / job roles with the aid of external HR consultancy
• Develop company handbook to include all processes created to date and any others we feel necessary
• Draft example letters for job offer, disciplinary, written warnings etc
• Develop PDR (personal development review) forms & process for reviews for all colleagues
• Set up & maintain training records for employees, including renewal dates for CSCS etc
• Develop interview process, list of questions and scoring method for future recruitment
• Record employee holiday & absence records and develop a monthly reporting tool to management
Health and Safety
• Complete H&S site audits, type up & issue to customer
• Manage the CHAS / SMAS submissions
• Keep and manage maintenance & service history for machinery (including fork lift)
• Organise & communicate to customers the PAT testing
• Write RAMS (Risk and Method Statements) for projects
• Support in the recording of data for CE audit and ongoing accreditation
General duties
• Company vehicles – insurance, MOT, serving etc. including creating asset register for all vans & their equipment
• Company insurances – renewal
• Create and manage delivery notes
• Posting invoices & managing credit card statements & receipts
• Working with external accountant for month end VAT return submissions
• Logging all incoming enquiries and allocating number for work & responding back to customers on receipt of enquiry
• Logging & managing the ordering system for all materials
One off projects - Manage the office move
• Arrange for all utilities to be moved
• Help with the logistics planning of the move of materials and machinery
• Web site address changes
• Communicating to all suppliers and customers of the new address details
• Organise new business cards and letter heads for stationary
• Van graphics – new van & changes to any phone numbers
